Tracking categories
How your Xero tracking categories reach the Create Invoice dialog and the invoices it makes.
Smartworks reads your tracking categories and their options from Xero and keeps a copy for up to 2 days. You choose an option for each category when you create an invoice, and Smartworks puts that choice on every line of the invoice in Xero. Tracking is not set on quotes, purchase orders, bills or credit notes.
In the Create Invoice dialog
When you click Create Invoice on the Invoicing screen, the dialog lists each of your Xero tracking categories. Each starts on None. Choose an option, or leave it on None to send no tracking for that category.
- Only active options are listed. Options archived in Xero are left out.
- A category with no options in Xero is not listed.
- The option you choose applies to every line on that invoice. Smartworks has no way to set a different option on each line.
There is no setting for a default tracking option. You choose it on each invoice.
What Smartworks keeps
Nothing of its own. The categories and options are the cached copy from Xero. The choice you make is sent to Xero with the invoice.
What you change where
Tracking categories and options are created, renamed and archived in Xero. After a change, click Update beside Tracking Categories in Xero Data Sets.
Limitations
- A category or option added or archived in Xero can take up to 2 days to show in the dialog, unless you click Update.
- One option per category applies to the whole invoice. To split an invoice across options, edit the lines in Xero.
