Why Smartworks

Less paperwork, fewer phone calls

Your Xero data, already there

Customers, suppliers and products come from Xero, so there is nothing to import or re-key.

Invoices land in Xero

Approved time and materials become an invoice in Xero, not a second set of books.

One calendar for the office

See who is where today, drag jobs onto team members and spot gaps at a glance.

The job on every phone

Team members see their day, start and stop work, and add parts and photos from site.

Callouts at 2am

On-call techs create their own jobs and start the paperwork straight away.

Purchase orders from site

Order the part from the job itself, and receive it against the job when it arrives.

Recurring work, scheduled

Set up maintenance jobs once and Smartworks creates each visit on time.

No extra Xero logins

Delegate work without giving staff access to your accounting software.

Features

One job, from the office to the site and back to Xero

The desktop Scheduler and the mobile app work from the same jobs, so the office sees what the team records the moment they record it.

In the office

Plan the day on one calendar

The office sees every booking in one place, linked to the customers and products already in Xero.

  • Create jobs for your Xero customers in a few clicks
  • Drag jobs onto team members and book the plant they need
  • Quotes, purchase orders and recurring jobs in the same place
  • Pull timesheet data out for payroll

On site

Everything the team needs, on their phone

A phone app built for the job, not a desktop screen squeezed onto a phone.

  • See today’s schedule and the next job
  • Start and stop work, and add parts as they are used
  • Create purchase orders and new jobs, such as callouts
  • Upload photos and add team members to a job

Back in Xero

Finished work becomes an invoice in Xero

Check the time and materials against the job, then create the invoice. It is made in Xero, ready to send.

  • Invoice the lines you choose, as Draft or Authorised
  • Record payments against the invoice
  • No extra Xero users for your team
One set of books

Xero stays the source of truth

Smartworks doesn't keep its own invoices, quotes or purchase orders. It creates them directly in Xero and opens them from Xero, so there is one set of financial records: the one your accountant already uses.

Your accountant

Works in Xero, as they do today.

No export, no import and no spreadsheet in the middle. Smartworks writes to Xero and reads from Xero.

Nothing to reconcile

There is no second copy of an invoice or purchase order in Smartworks to check against Xero. There is one, and it is in Xero.

No spreadsheets in the middle

Time, materials and purchases go from the job into Xero without an export, a spreadsheet or re-keying.

Your Xero, unchanged

Your accountant keeps working in Xero. Smartworks adds the jobs, bookings and time behind each invoice.

Stock management

Stock that follows the job

Xero tracks stock for your accounts. Smartworks tracks it where the work happens: on the van, on the job and on the order.

Parts used on a jobStock comes off when you invoice the item.Your team adds the part on site and it comes off stock straight away, against that job.
Receiving an orderA purchase order does not move stock. The quantity changes when the bill is entered.Receive the purchase order and the stock goes on hand, or straight onto the job it was ordered for. The bill is created in Xero for you.
What each job costItems are valued at one average cost across the business. Each part is costed on the job it went to, so you see every job’s margin.
Month-endCost of sales is posted as items are invoiced.A month-by-month cost of goods sold report, which you lock once the month is closed.

Incoming stock at a glance

See what is on hand and what is on order for every tracked product.

Stock checks on site

Optionally stop the team adding parts that are out of stock, on the phone or the desktop.

Track only what matters

Turn tracking on for the parts you hold, and leave consumables and labour untracked.

How it fits with Xero. Your stock count lives in Smartworks, and the money lives in Xero. Purchase orders, bills and invoices still go to Xero as usual, but Smartworks keeps its own stock ledger rather than updating Xero’s tracked inventory. How stock and Xero fit together →
