Branding themes
How the Xero Branding Theme setting decides the look of the documents Smartworks creates.
A branding theme is Xero’s layout for a document’s PDF: logo, wording and terms. Smartworks reads your themes from Xero and keeps a copy for up to 2 days. You pick one in Xero Branding Theme, and Smartworks puts it on the invoices, quotes and purchase orders it creates. The PDFs Smartworks shows and emails are Xero’s, so they use that theme.
The setting
| Setting | What it does | Default |
|---|---|---|
| Xero Branding Theme Text | Select the Xero Branding theme to user for Invoices, Quotes and Purchase Orders | Not set |
Xero Branding Theme is on the Xero Connector page, under Xero Settings. It lists the themes in your Xero organisation, plus - None -, and saves as soon as you pick one. With - None -, Smartworks sends no theme and Xero uses its default.
Where the theme is applied
| Document | When the theme is set |
|---|---|
| Invoice | When Smartworks creates it. |
| Quote | Each time you save it in Smartworks. |
| Purchase order | Each time you save it in Smartworks, and on back orders. |
| Bill | Not set. Xero uses its default. |
| Credit note | Not set. Xero uses its default. |
What you change where
Themes are designed in Xero. Which one Smartworks uses is set in Smartworks. After you add a theme in Xero, click Update beside Branding Themes in Xero Data Sets so it appears in the list.
Limitations
- A theme added in Xero can take up to 2 days to appear in the list, unless you click Update.
- Saving a quote or purchase order in Smartworks sets it back to the theme in Xero Branding Theme, even if someone chose a different theme for it in Xero.
- Changing the setting does not change documents already in Xero. A quote or purchase order picks up the new theme the next time it is saved in Smartworks. An invoice keeps the theme it was created with.
